SJ THEATRE ARTS ACADEMY – TERMS & CONDITIONS

1. Dress Code for Classes & Workshops

Children’s Classes & Workshops

 Long hair must be tied back for all classes and workshops.

 School PE Kit or:

 Comfortable top suitable for movement or SJ Theatre Arts Academy Uniform

 Black leggings, cycling shorts, or jogging bottoms

 Trainers, pumps, or dance shoes must be worn at all times (no bare feet).

 School shoes are not permitted.

Adult Classes & Workshops

 Long hair must be tied back for all classes and workshops.

 Comfortable top suitable for movement or SJ Theatre Arts Academy Uniform.

 Black leggings, cycling shorts, or jogging bottoms.

 Trainers, pumps, or dance shoes must be worn at all times (no bare feet).


2. Attendance & Collection – Students Under 18

 On arrival, children/parents must sign in with the class/workshop teacher.

If your child is unable to attend, please email: sjtheatreartsacademy@yahoo.com.

 Before leaving, each child must be signed out by the class/workshop teacher.

No child may leave without being collected or formally signed out.

If running late, please contact 07869136267.

 If the authorised adult is unavailable for collection, a password must be provided to

SJ Theatre Arts Academy to permit safe release of the child.

 All children will be instructed in fire evacuation procedures.

 Any queries or concerns should be raised initially with your child’s workshop teacher.


3. Attendance – Adult Students (18+)

 On arrival, students must sign in with the teacher leading the class/workshop.

If unable to attend, please email sjtheatreartsacdemy@yahoo.com or message the

academy phone: 07869136267 prior to your session.

 Before leaving, all students must sign out.

 All adult students will be made aware of fire evacuation procedures.

 Any queries or concerns should be directed to your class/workshop teacher.


4. Change of Contact Details

It is the responsibility of the parent/student to notify SJ Theatre Arts Academy of any

changes to contact details. SJ Theatre Arts Academy accepts no liability for missed

communication due to outdated contact information.


5. Payment Terms for Classes & Workshops

 Invoices are issued upon completion of the booking form and thereafter half-termly

in advance, on the last Thursday of each half term, with payment due within 7 days.

 Payment must be made within 7 days to secure your place.

 A £3.00 per day administration fee will be added to all late payments and included on

the subsequent invoice.

 No refunds are issued for missed classes, as SJ Theatre Arts Academy incurs ongoing

costs to run sessions safely.

 Failure to pay any outstanding balance, without discussion or an agreed payment

plan, will result in immediate cancellation of your place and the debt may be passed

to the small claims court.

 If you experience financial difficulty, please speak with your teacher as support may

be available.

 If you wish to leave a class, one month’s notice must be given in writing to

sjtheatreartsacademy@yahoo.com.

You will be required to pay for the notice period until the agreed final class date.


6. Private Lesson Payment &; Cancellation Terms

 Private lessons are invoiced half-termly in advance.

 Invoices are issued on completion of the booking form and every half term on the last

Thursday, with payment due within 7 days.

 To cancel private lessons, one month’s notice in writing must be emailed to

sjtheatreartsacademy@yahoo.com.

The notice period must still be paid until the final agreed lesson date.

 No refunds are given for missed private lessons. Rescheduling may be offered where

possible, subject to teacher availability.

 SJ Theatre Arts Academy incurs committed costs in order to deliver private lessons

safely and consistently.


7. Extra Rehearsals for Performances & Exams

 Extra rehearsals will be charged according to current hall rates and other associated

costs.

 All parents and adult students will be notified of rehearsal charges at least one month

prior to the first additional rehearsal.

 No refunds are issued for missed extra rehearsals, due to the committed costs

required to run them safely.

 Failure to pay outstanding amounts, without discussion or a payment plan, will result

in immediate cancellation of your place and may be referred to the small claims

court.

 If you experience financial difficulty, please speak with your teacher. Support may be

available.


8. Refund Policy

 Refunds will only be issued if a workshop or class is cancelled due to teacher illness or

severe weather. SJ Theatre Arts Academy will make every effort to reschedule

sessions and provide at least 24 hours’ notice where possible.

 Due to the costs associated with operating classes and workshops, no refunds are

offered for missed sessions for any other reason. Your place will remain reserved.


9. Costume Policy

To ensure costumes are properly maintained and available for future productions, the

following applies to all participating students:

1. Costume Ownership & Responsibility

 All costumes purchased by SJ Theatre Arts Academy remain Academy property unless

parents or adult students have purchased and agreed to keep them.

 Students are responsible for the care, safe handling, and prompt return of all issued

costume pieces.

2. Return Requirements

 Costumes must be returned immediately after the performance or by the deadline

given by the production team.

 Costumes must be returned in good condition, with no damage or unauthorised

alterations.

3. Failure to Return Costumes

 Any student who leaves a performance without returning their costume(s) will be

held financially responsible.


4. Replacement Fees

 Students who fail to return a costume, or who return it damaged or unusable, will be

required to pay the full replacement cost.

 For students under 18, the legal parent/guardian will be responsible for payment.

 Replacement costs may include materials, labour, accessories, and any remaking or

restocking charges.

5. Administrative Action

 Replacement fees must be paid before the student may attend further classes,

rehearsals, or performances.

 Repeated failure to follow costume procedures may result in further action at the

discretion of the Academy.
